Concierge Services

The concierge service is designed to extend hands-on pre-award services for successful proposal creation to the campus community. Concierge services are a resource for Principal Investigators and research support staff who request additional in-depth support.

Concierge services include assistance with:

  • Proposal preparation
  • Review of proposal solicitations and guidelines
  • Small group training
  • Individualized in-depth guidance.
  • Onboarding and/or training of new research support staff.

Appointments can be made Monday – Friday between 7:30AM to 4PM. The concierge suite is located on main campus in the Peter T. Flawn Academic Center (FAC), Suite 424 (Map) and accommodates one-on-one and small group meetings. The staff are also prepared to offer training and assistance in the comfort of your own office or designated space. See the Frequently Asked Questions below for more information.

Who do I contact for Concierge Services?

The Concierge Service team is currently represented by Ashley Gillespie and Leslie Martinez. Once a request for consultation has been submitted, the Concierge Services team will contact you within two (2) business days.

Can I drop by the Concierge office without an appointment?

While we welcome drop-ins, we operate by pre-scheduled appointments to provide the best service possible. To guarantee prompt assistance, please request a consultation through the online intake form.

I am a departmental staff person, can I contact the concierge for help?

Yes, the OSP Concierge service is available to all faculty, staff, post docs, and graduate students who are seeking assistance with proposal duties related to sponsored activities.

Does the OSP concierge replace my regular departmental specialist?

While the OSP Concierge Service is open to all UT faculty and staff, it is was not created to replace the capable grant staff available in your department and/or colleges. When possible, it is best to first utilize the resources provided by your department and/or college.

Can the concierge create my proposal package for me?

The Concierge offers proposal package creation as a service, however, these requests must come at least 2 weeks before the sponsor’s deadline. In order to ensure a successful submission, the applicant will agree to meet the internal deadlines set by the concierge during the initial appointment.

I have a proposal due within the next week. Can I use the Concierge service?

Proposals submitted through the Concierge service must be requested at least 2 weeks before the sponsor’s deadline. If your proposal is due in less than 2 weeks, please contact OSP and submit your Proposal Review Form to obtain prompt assistance.

Will the Concierge submit my proposal or do I go through OSP?

All proposal applications are ultimately approved for submission by the Office of Sponsored Programs. If you route your proposal through the Concierge Service, the Concierge communicates with OSP on your behalf and takes responsibility for securing a successful submission.

Can the concierge edit my project narrative?

With time permitting, the Concierge can edit technical portions of your application from a grammatical and structural perspective, however, we are not trained in your unique content area and are unable to offer more robust editing of your narrative at this time.

I am a departmental specialist and have a faculty member that needs more in-depth assistance I can’t currently provide. Can I refer them to the concierge?

Yes, please request a consultation using the online form and add comments in the notes section providing as much detail as possible (including your name and contact information) and the Concierge will reach out to your faculty member.

I have a progress report due. Will the concierge help me submit?

While the Concierge might be able to provide some assistance, it is best to contact your Award Specialist, Contract Coordinator, or Sponsored Projects Accounting Specialist for assistance with these reports.

Can the concierge help me manage my award?

We are not currently offering post-award assistance. Please contact OSP to be connected with the appropriate Award, Contract, or SPA specialist for assistance with award management.

Can the concierge help me with RMS?

Yes. We offer the following services:

  • Proposal preparation
  • Review of proposal solicitations and guidelines
  • Small group training
  • Individualized in-depth guidance.
  • Onboarding and/or training of new research support staff.

If I work with the Concierge, do I still need to submit a PRF?

Yes, you can submit the PRF on your own or work with the Concierge to submit one with you. Please indicate in the comments section that you are working with the concierge team and the PRF will be routed to the Concierge team for further assistance.

I am new employee with grant duties and don’t know where to start. Can you help?

Yes. Please submit a request for consultation online and the Concierge team can determine how to best assist you.

Can the concierge train a small group of faculty?

When provide training to small groups, the Concierge might request the assistance of the OSP Program Coordinator. Please submit a request for consultation online and the Concierge team can determine how to best assist you.

I am a post doc/ grad student. Can the concierge help me?
