UTRMS Animal Research Management Transition Hub

This Spring, UT Austin will transition from the eProtocol IACUC and eAnimal Ordering systems to two new modules within UT Research Management Suite (UTRMS).

UTRMS-IACUC will launch on February 24, 2025, and UTRMS-AOps launches on March 10, 2025.

To prepare for this transition, this page serves as a central hub for training, documentation and support.

Monday, January 27
  • No new protocol and triennial eProtocol IACUC submissions accepted effective 8 am Monday (create button disabled); amendments to approved protocols available until February 7 and review activity still available until February 14
  • Animal Use Survey (in REDCap) distributed
Friday, February 7
  • No new amendments to protocols in eProtocol IACUC
Monday, February 10
  • Final IACUC Committee Meeting before Go-Live
Friday, February 14
  • eProtocol blackout begins: no eProtocol IACUC activity of any type available effective midnight Thursday; eProtocol IACUC transitioned to read-only. Any items still under review without approval will need to be resubmitted in UTRMS-IACUC.
  • Animal Use Survey due
Monday, February 24
  • UTRMS-IACUC Go-Live
Thursday, March 6
  • eAnimal Ordering blackout begins: no new orders effective 12 am Thursday. Orders for delivery during the week of March 10 should be placed by midnight Wednesday, March 5; orders for delivery on or after March 17 should be held and placed in UTRMS-AOps.
  • Hold placed on animal transfers, exports, and services through March 10
Monday, March 10
  • UTRMS-AOps Go-Live
Monday, March 31
  • Researchers enter animal counts by end of month (beginning April 1, researchers prompted monthly to enter updated counts)

There are several ways to get help:

  • Schedule an appointment with the IACUC team for one-on-one support with new protocol creation, transitioning an existing protocol, or other processes in UTRMS-IACUC.
  • Submit a ticket to Research IT for technical and system support.
  • For questions and help with animal ordering, email ARC staff at arcinfo@austin.utexas.edu.

Sign up for training or view recordings of previous sessions on the upcoming joint launch. Additional dates may be scheduled as needed by the research community.

Informational Webinars

A pair of Town Hall-style overview sessions were held one month before launch (January 15 and 21), providing information on the launch as a whole as well as some changes coming with each module. View webinar materials, including slides and recordings.

Trainings by Module

These sessions will cover each module in greater depth, to help research teams prepare. Visit Research TRACKS, click Class Registration, search by Course ID and click “Add” (under Enroll) to register. Remember to also click "View", scroll down and select “Add to Calendar” to add to your calendar.

  • UTRMS-IACUC: Researcher Training (RC0110): This training is designed to introduce researchers to core activities in UTRMS-IACUC. Learn the basics of building a protocol and getting it through the approval process.
    • Tuesday, February 18, at 1:00 pm - 2:30 pm
    • Wednesday, February 26, at 11:00 am - 12:30 pm
  • UTRMS-Animal Operations: ARC Researcher Training (RC0115): This training is designed to introduce researchers to core activities in UTRMS-AOps. Learn the basics of ordering animals, submitting services requests, updating animal numbers, and verifying charges, and more. This session is intended for researchers using ARC-managed spaces.
    • Tuesday, March 4, at 1:00 pm - 2:30 pm
  • UTRMS-Animal Operations: Other Researcher Training (RC0116): This session is intended for researchers using PI-managed spaces, field work, and coastal facilities.
    • Wednesday, March 12, at 11:00 am - 12:30 pm
