Persons requesting authorization to spend or commit a limited amount of funds during a defined period, prior to receipt of a fully negotiated award, receipt of incremental funds, or approval of a no-cost extension should review the Credit Policy found in the Handbook of Business Procedures issued by the Office of Accounting.
To initiate the Credit Procedure outlined in the Handbook, use the Credit Request OIE template (Word):
- Follow the instructions to supply the required information and complete the request form with all applicable details, e.g. justification and guarantee account number.
- Email the completed request form, as a Word document (and also paste it into the body of your email), to either:
OIE if the funding comes solely from industry sponsors;
OSP if the funding amount contains any state or federal government funds.
- Copy your business officer on the email you send.
Once the request form is reviewed for completeness, it will be forwarded to Accounting for an analysis of the financial risk to the University and final approval. Accounting usually performs the review/approval the same day the request is received, and the request is then sent to an accountant for account authorization.
The entire process usually takes no longer than two business days. Once approved, Accounting will notify you.
