FAC Conference Room Reservations

Students are not allowed to reserve any of the following rooms. Nor are the rooms to be used for study sessions.

Use your Austin Exchange Messaging Service (AEMS) or Office 365 account to check room availability or make reservations. This can be done within an existing or new appointment by selecting Scheduling Assistant > Add Room(s). All conference rooms are searchable in the Global Address List (GAL) by building code and room number.

Be sure you are familiar with the Reservation Guidelines (at the bottom of this page) before booking a room to avoid any delays or scheduling problems.

These rooms are maintained in part by those who use them. By making a reservation you are agreeing to abide by the following guidelines (updated to include COVID-19 guidelines):

  • Use the provided sanitizing sprays to disinfect the room before and after each use. Your reservation should include both setup and cleanup time so that there is sufficient time within your reservation for these activities. Return the sprays and paper towels to the sanitizing station after use.
  • Electronics: (conference phones, presentation touch screens, keyboards, mice, etc.) spray the alcohol spray onto a paper towel and then wipe down the surface.
  • Hard Surfaces: (table tops, chair arms, drawer pulls, etc.) spray the bleach spray onto the surface, allow it to sit for 2 minutes, then wipe dry with paper towels.
  • DO NOT spray electronics directly from the bottle or use the bleach spray on any electronics or soft surfaces in the room.
  • The room capacity of each of our conference rooms has been updated to allow sufficient room for social distancing. Please respect the new capacity requirements and do not move any furniture around the room.
  • ITS staff may not be immediately available to provide support during an event. It is strongly recommended that first-time users of a room make a prior reservation to do a test run of the event. This is especially important for a two-way videoconference or webcast from the spaces. You should coordinate with LAITS, laits-av-help@utexas.edu , when you schedule the room for the test and any two-way/webcast events.
  • The rooms are normally unlocked upon arrival.
  • Double check all reservations on your personal calendar with the calendar for each room a few days before the event/meeting, and again day-of. This ensures that the room will be available.
  • Share details about room changes with all meeting/event attendees.

If you have any questions or concerns about your reservation, please send an email to FAC_Building_Manager@utlists.utexas.edu.
